SnapProof helps hire-car renters document a vehicle at pickup and return, so any new damage is fair and provable. This policy explains what we collect, why, and the control you have over it. We built SnapProof so your evidence works for you — not against you.
The short version. Your inspection photos are yours. They're encrypted, stored against your account only, and never sold or handed to a rental company unless you choose to share a report. You can export or permanently delete everything at any time.
1. Who we are
SnapProof is operated by SnapProof Pty Ltd ("SnapProof", "we", "us"). For any privacy question, or to exercise a right described below, contact hello@snapstudios.com.au.
2. Information we collect
Information you provide
- Account details — your email address and, if set, a display name. Authentication is tied to your booking/inspection session.
- Inspection content — the photos you capture at pickup and return, the vehicle panels you tag, plus notes you add.
- Booking reference — an ID you enter to group an inspection (e.g. a reservation number). This is a label; we do not connect to rental-company systems.
Information collected automatically
- Photo metadata — timestamp and, where you grant permission, approximate GPS location. This is what makes a report hold up in a dispute.
- Device & diagnostic data — app version, device type, OS, crash logs and basic usage events, used to keep the app working.
What we do not collect
- We never store your full card number. Payments (per-scan or subscription) are processed by the app stores or our payment provider — we only receive confirmation that a payment succeeded.
- We do not access your camera roll or contacts. The camera is used only while you are actively capturing an inspection.
- We do not sell personal data or share it with advertisers. Ever.
3. How we use your information
- To create, align and store your pickup and return inspections and generate your signed PDF report.
- To run AI damage comparison between your pickup and return frames.
- To let you retrieve, export and share your own reports.
- To secure the service, prevent abuse, and fix bugs.
- To send you essential service messages (for example, a reminder that a rental has started). We do not send marketing without your opt-in.
4. Camera, photos and location permissions
SnapProof requests camera access to capture inspection photos and location access to stamp where a photo was taken. Both are requested in-context and are optional — though a report is stronger with them. You can revoke either permission in your device settings at any time; the app keeps working, with reduced evidence quality.
5. How we store and protect your data
- Photos are encrypted in transit (TLS) and at rest.
- Inspection data is stored against your account only and is not visible to rental operators.
- Access to production systems is restricted and logged.
6. Sharing your data
We only share your data:
- When you choose to — e.g. sending a report link or PDF to a rental company to resolve a dispute.
- With service providers — infrastructure, storage and AI-processing partners who act on our instructions under contract, and only to run SnapProof.
- Where legally required — to comply with a valid legal request, or to protect the rights and safety of users and the public.
We never sell your personal information.
7. Data retention
Inspection photos and reports are retained while your rental is active and for 90 days after the rental closes, so you can still respond to a late damage claim. After that, they are automatically deleted. You may delete anything sooner — see the next section.
8. Your rights & choices
- Access & export — download your reports and photos at any time.
- Correction — update your account details.
- Deletion — permanently delete individual inspections or your entire account and all associated data. See Data & account deletion.
- Withdraw consent — revoke camera or location permission whenever you like.
Depending on where you live (for example, under the Australian Privacy Act, GDPR or CCPA) you may have additional rights. We honour these regardless of location. Email hello@snapstudios.com.au and we'll action requests within 30 days.
9. Children
SnapProof is not directed to children under 16 and we do not knowingly collect their data. If you believe a child has provided us information, contact us and we will delete it.
10. International transfers
Your data may be processed on servers outside your country. Where it is, we apply safeguards consistent with this policy and applicable law.
11. Changes to this policy
We may update this policy as SnapProof evolves. Material changes will be notified in-app or by email, and the "Last updated" date above will change.
